Story: To create a list of ATM items:
Select SELECTION >Find by Accession Number from the toolbar
Type in the accession number: e.g. ml.0078.16 and click Add to List. Continue to search for accession numbers adding them to the selection by clicking Add to List.
Once all the accession numbers have been found, highlight the complete list and click Select. A new window opens with the selected accession numbers. Highlight this new list and select PORTFOLIO>New from the toolbar. Type in a name for the new portfolio, e.g. ATM 2013. Under Sharing options > Personal leave other fields blank and click DONE.
You can add or delete items from this portfolio using the options found under the PORTFOLIO toolbar.
To add-- open the portfolio, when the contents of the portfolio is displayed, click Search>Find by Accession number. Once the item is found, select PORTFOLIO>Add to Current. To display the recently added item, click PORTFOLIO>show current.
To export records from Embark--use the portfolio you created. “Object” information and “Object Notes” cannot be exported simultaneously, you will need to export the information in separate files and merge later.
To export “Object” information:
Select PORTFOLIO from the toolbar, or click the Portfolio button. Click the down arrow to display saved portfolios , highlight your portfolio and choose New Object List Window.
From the displayed list of items, highlight the titles you want to export. Select UTILITIES> Export. Choose ASCII text. The next screen displays all available fields for export. To simplify the process a loader has been created use this loader ATM2012 This loader will automatically load the fields needed by CONTENTdm. To use the Loader, click LOAD a small window pops up, select ATM2012 and click LOAD. In the Options section, click Include Field Names. Use the Comma Separated Format option, and export the information.
To export “Object Notes” follow the directions above except choose “Object Notes”, the loader is ATM Commentary
